1. Information we collect

We collect account details, email verification records, Parent and Provider profiles, participant details supplied by a responsible adult, registrations, attendance, messages, reviews, safeguarding reports, billing records, policy acceptances, security logs and technical request information.

2. Why we use it

We use information to operate accounts and workspaces, deliver registrations and communications, verify attendance, publish eligible reviews, manage provider subscriptions, investigate safety concerns, prevent abuse, maintain audit records and improve service reliability.

3. Children and participant information

Participant profiles are controlled by a parent, guardian or authorised adult. Public pages should not display a child's full private profile. Users must not add information they are not authorised to provide.

4. Sharing

We share only the information needed for the relevant workflow. For example, a provider may receive registration and participant information needed to deliver an activity. Private safeguarding reports are restricted to authorised operational staff. We may use infrastructure, email, payment and hosting suppliers acting under appropriate arrangements.

5. Retention

We retain information for as long as needed for active services, safety, billing, dispute handling, audit and legal obligations. Retention periods should be finalised in the production data-retention schedule before launch.

6. Security

We use one-time email codes for normal users, separate Administrator identities with password sign-in and account lockout, role checks, secure cookies, rate limits, encrypted transport, restricted database access and audit records. No online system can guarantee absolute security.

7. Your choices and rights

You may ask to access, correct or delete eligible personal information, object to certain uses or request a copy where applicable. Some records may need to be retained for safety, billing, dispute or legal reasons. Contact privacy@sportnearme.co.uk.

8. Cookies

Essential cookies support sign-in, security and workspace sessions. Optional analytics is not loaded in this release. See the Cookie Notice for preference controls.

9. Changes

We record policy versions and may request renewed acceptance when the policy materially changes.
